How to Back Up MISA Data Daily: A Practical Checklist for Vietnamese Businesses
Your MISA accounting data is one of the most critical files in your business. Losing it without a backup is catastrophic. Here's how to make sure that never happens.
An accountant calls to say MISA won't open. The database is corrupted — most likely a power outage during a write operation, a Windows update restarting mid-transaction, or a hardware issue. When did we last backup?
If the answer is "I think there's a backup from last month," that's a significant business problem. Weeks of accounting data — invoices, payments, payroll — potentially gone.
Here's how to prevent this with a proper backup system.
Understanding MISA Data Storage
First, understand what you're backing up:
MISA SME (desktop/server version): Data is stored in a local database, typically SQL Server Express. The database files are usually located in:
C:\MISA\SME\Data\or similar path- Or on a server if MISA runs in a client-server configuration
MISA SME.NET (cloud version): Data is hosted on MISA's servers. Your local computer is essentially a browser interface. Backup is MISA's responsibility — but you should still export key reports periodically.
Important: Backing up just the MISA program folder is NOT enough. You need to back up the actual database files.
How to Back Up MISA Properly
Method 1: Use MISA's Built-In Backup Function (Recommended)
MISA has a built-in backup feature that creates a complete, restorable copy of your database:
- Open MISA SME
- Go to Hệ thống (System) → Sao lưu dữ liệu (Backup data)
- Choose a backup location — ideally an external drive or a network location
- Set a filename with today's date:
MISA_backup_2026-08-08.bak - Click backup
Do this before closing MISA at the end of each day.
This creates a .bak file that can be restored through MISA's restore function if needed.
Method 2: Back Up the SQL Server Database Files Directly
If you have access to the server or MISA's database server:
- Stop the MISA service or ensure no one is using MISA
- Copy the database files (
.mdfand.ldffiles) to an external location - These are typically found in the SQL Server data directory
This method requires more technical knowledge but gives you raw database files.
Method 3: SQL Server Backup Job (Automated)
For businesses using MISA in client-server mode with SQL Server:
- Open SQL Server Management Studio
- Create a maintenance plan or SQL Agent job to backup the MISA database
- Schedule it to run daily at 11:30 PM
- Save to a network share or external drive
This is the most reliable automation option.
Where to Store Your Backups
External hard drive: Fast, cheap, reliable. But if the office has a fire, flood, or theft, both the computer and the external drive may be lost.
Network storage (NAS): Better than a single external drive if the MISA server and NAS are in different physical locations or on different circuits.
Cloud storage: OneDrive, Google Drive, or Dropbox can automatically sync backup files to the cloud. Configure your MISA backup to save to a folder that's synced.
Recommended: 3-2-1 rule:
- 3 copies of data
- 2 different media (e.g., external drive + cloud)
- 1 offsite (cloud counts)
At minimum: keep backup on the local computer AND sync to cloud storage.
Daily Backup Checklist
Implement this routine at the end of each accounting day:

□ All transactions entered and saved for the day
□ MISA backup run: System → Backup Data
□ Backup file name includes today's date
□ Backup saved to external drive
□ (Weekly) Confirm cloud sync is working — check backup folder on OneDrive/Drive
□ (Monthly) Test restore: actually restore the backup to verify it works
Pin this checklist near the accountant's workstation.
How Long to Keep Backups
Keep backups for at minimum:
- Daily backups: Keep last 30 days
- Monthly backups: Keep last 12 months
- Year-end backups: Keep for 5-7 years (Vietnamese tax records requirement)
Year-end backups are especially important — Vietnamese tax law requires you to be able to produce accounting records for 5-10 years.
Automating the Backup
Manual daily backups rely on someone remembering. Automation is more reliable.
Option 1: Windows Task Scheduler + MISA command line MISA supports command-line backup in some versions. Set up a scheduled task to run the backup automatically at a specified time.
Option 2: MISA scheduled backup (if supported in your version) Some MISA versions have built-in scheduled backup. Check System settings.
Option 3: Third-party backup software Tools like Macrium Reflect or Acronis can be configured to back up specific folders (including your MISA data folder) automatically on a schedule.
What to Do If MISA Data Is Corrupted or Lost
If the worst happens:
- Stop all MISA access immediately — further writes may make recovery harder
- Don't panic — find the most recent backup
- Restore via MISA: System → Restore Data → Select backup file
- If backup is from yesterday, you may need to re-enter today's transactions from paper records or HDDT portal
If you have no backup and the database is corrupted, professional data recovery may be possible for the database files — but this is expensive and not guaranteed. Prevention is much better.
