Microsoft 365 Doesn't Back Up Your Data: The Truth Most SMBs Don't Know

The Microsoft Terms You Haven't Read
Open the Microsoft Service Terms and you'll find this:
"Microsoft recommends that customers use third-party backup solutions to protect and back up content in Office 365."
Translation: Microsoft does NOT guarantee the recovery of your data.
Microsoft has limited restore features (30-day recycle bin, up to 180-day OneDrive versioning on premium plans), but this is not a true backup and does not protect you from:
- Ransomware encrypting files directly in OneDrive/SharePoint
- An employee leaving and their account being deleted — emails gone within 30 days
- An account compromised and data deleted by an attacker
- Admin error — accidentally deleting a mailbox, SharePoint site, or Teams channel
- Legal compliance requiring email retention for multiple years
5 Real M365 Data Loss Scenarios
Scenario 1: Employee Departures
You delete the account of an employee who just left. After 30 days, all their email, OneDrive files, and Teams chats are permanently deleted. Three months later, a client asks about a contract negotiated via that email — it's gone forever.
How often this happens: Very common — we see it monthly at Vietnamese companies.
Scenario 2: Ransomware Syncing to the Cloud
An employee's computer is infected with ransomware. OneDrive files are encrypted. OneDrive automatically syncs the encrypted files to the cloud, overwriting older versions. Microsoft retains some version history but not everything — and the recovery process is complex and incomplete.
Scenario 3: Accidentally Deleting a SharePoint Site
An admin accidentally deletes a SharePoint site (thinking it was a test site, but it was production). The site enters the Recycle Bin for 93 days — but if it's then deleted from the Recycle Bin, it cannot be recovered.
Scenario 4: Compromised Account
The CEO's Microsoft 365 account is compromised via phishing. The attacker accesses and deletes emails and documents. Microsoft can provide audit logs but does not guarantee full data recovery.
Scenario 5: Unexpected Subscription Termination
Your Microsoft 365 subscription lapses because a credit card expired, and the business doesn't receive the notification in time. After 30 days of "suspended" status, data begins to be deleted. After 180 days, everything is permanently gone.
What Needs to Be Backed Up in Microsoft 365
A dedicated M365 backup service needs to cover:

Microsoft recently launched a "Microsoft 365 Backup" add-on for Business Premium plans, providing:
- Fast OneDrive restore (10 seconds per user)
- SharePoint restore (minutes)
- Exchange restore (minutes)
- Additional cost: ~50,000 VND/user/month
Note: This feature still has limitations on restore points and retention history compared to dedicated third-party solutions.
M365 Backup Checklist
- Backup enabled for Exchange Online (all mailboxes, including shared mailboxes)
- Backup enabled for all users' OneDrive
- Backup enabled for SharePoint (all sites, not just important ones)
- Backup enabled for Microsoft Teams (chats + files)
- Minimum 90-day retention policy (ideally 1 year)
- Process in place for departing employees (retain data before deleting account)
- Restore testing at least quarterly
