Microsoft Teams Cannot Join Meeting: 8 Causes and How to Fix Them
Teams meeting not loading? There are 8 common causes — and most can be fixed in under 5 minutes.
The meeting starts in two minutes. You click the link. Nothing happens. Or Teams opens but sits on a loading screen, or drops you before the meeting begins. For businesses that rely on Teams for client calls, supplier meetings, or remote team collaboration, this is a costly disruption.
Here are the eight most common causes — and how to fix each one.
Cause 1: Internet Connection Problem
Teams requires stable internet for video calls — roughly 1.5 Mbps upload and download per call. If your connection is unstable or slow:
Quick test: Open a browser and try loading a website. If it's slow or fails, your internet is the issue.
Fixes:
- Switch to a wired ethernet connection if on WiFi
- Ask others in the office to pause large downloads or streaming during the call
- Restart the router (unplug for 30 seconds, reconnect)
- If on mobile data, move somewhere with stronger signal
If office internet is consistently slow during peak hours, this is a network infrastructure problem worth addressing properly.
Cause 2: Outdated Teams Application
Microsoft releases Teams updates regularly. An outdated version can fail to connect to meetings that use newer features.
How to check and update:
- Open Teams
- Click your profile picture (top right)
- Select Check for updates
- Teams will download and apply updates automatically
If Teams is severely outdated, download the latest installer from the Microsoft Teams website.
Cause 3: Corrupted Teams Cache
Teams stores temporary data that can become corrupted and cause connection or loading problems.
Clearing the cache (Windows):
- Completely close Teams (right-click taskbar icon → Quit)
- Press Win+R and type
%appdata%\Microsoft\Teams - Delete the contents of these folders (not the folders themselves):
- Cache
- blob_storage
- databases
- GPUCache
- IndexedDB
- Local Storage
- tmp
- Reopen Teams and try joining again
Note: Clearing the cache will sign you out but won't delete your messages or files.
Cause 4: Browser vs. App Issues
If you click a meeting link and join through a browser instead of the Teams app:
For browser users:
- Teams works best in Microsoft Edge or Google Chrome. Firefox has limited support.
- Make sure the browser has permission to access your camera and microphone (look for the lock icon in the address bar → Site permissions)
- Pop-up blockers can prevent the meeting window from opening — disable for the teams.microsoft.com domain
Switch between browser and app: If the app isn't working, try joining via browser at teams.microsoft.com (or vice versa).
Cause 5: Audio or Video Device Not Being Detected
Teams may open but fail to find your camera or microphone, causing the meeting to behave strangely.
Check device settings:
- Open Teams → Settings (gear icon) → Devices
- Under Audio devices: select your correct speaker and microphone
- Under Camera: select your correct camera
- Click Make a test call to verify
Common device issues:
- Another application has exclusive control of the microphone (Zoom, recording software)
- Device drivers are outdated — update via Device Manager
- Privacy settings blocking access: Windows Settings → Privacy → Camera/Microphone — ensure Teams has permission
Cause 6: Teams Desktop App Sign-In Problem
Sometimes Teams is running but isn't properly authenticated to your Microsoft 365 account.
Signs: Meeting loads but shows "You can't join this meeting" or "Meeting not found" even with a valid link.
Fix: Sign out and sign back in
- Click your profile picture → Sign out
- Close Teams completely
- Reopen Teams and sign in with your Microsoft 365 work account
- Try joining the meeting again
If you have multiple Microsoft accounts, make sure you're signed into the correct work account.
Cause 7: Firewall or Proxy Blocking Teams
In offices with firewalls, proxies, or content filtering, Microsoft Teams traffic may be partially or completely blocked.
Signs: Teams works fine at home on personal internet, but not at the office.
What to check:
- Ask IT to verify that Teams traffic is allowed through the firewall
- Microsoft publishes the IP ranges and ports required for Teams — IT should whitelist these
- If using a proxy: Teams may need proxy bypass settings configured

Cause 8: Guest Access or External Meeting Issues
If you're trying to join a meeting hosted by another company (or vice versa), guest access settings may be blocking you.
For meeting organizers:
- Guest access must be enabled in the Teams Admin Center
- Go to Teams Admin Center → Org-wide settings → Guest access → Make sure Allow guest access in Teams is On
For people joining from outside an organisation:
- They can join via browser without a Teams account — send them the meeting link and they'll have the option to "Join on the web"
- If they're blocked, the meeting organiser needs to check guest access settings
Quick Triage Checklist
When Teams won't connect to a meeting, work through this in order:
- Check internet connection (load a website)
- Restart the Teams app (fully quit, not just close the window — then reopen)
- Check that camera/microphone permissions are granted in Windows Privacy settings
- Try joining via browser if the app isn't working (or vice versa)
- Clear Teams cache if the above don't help
- Sign out and sign back in
- Test on a different network (mobile hotspot vs. office WiFi) to isolate network vs. device
If it works on mobile data but not on the office network, the issue is the office firewall or network configuration — an IT problem, not a device problem.
When to Escalate
Contact IT support when:
- The problem happens consistently on the office network but not elsewhere
- Multiple people in the office are experiencing the same issue
- The issue appeared after a system update
- You've cleared cache, signed out, and reinstalled Teams with no improvement
