How to Migrate from Cracked Software to Licensed Without Losing Files or Data

Migrating from cracked to licensed software is simpler than most businesses expect — and your files stay intact.

The most common reason businesses continue using cracked software is not the license cost — it's the fear of losing files, settings, and having to reinstall everything from scratch. That fear is largely unfounded. Here's how to migrate your office from cracked software to properly licensed Microsoft 365 and Windows without losing data.

Before You Start: The Good News

For Microsoft Office and Microsoft 365 specifically:

• Your Word, Excel, and PowerPoint files (.docx, .xlsx, .pptx) are not tied to the Office installation
• Uninstalling cracked Office and installing genuine Microsoft 365 does not affect your document files
• Outlook emails and contacts can be exported and re-imported
• Windows documents, desktop files, and Downloads folder are unaffected by Office changes

The migration is primarily an IT installation task, not a data recovery task.

Step 1: Inventory What You Have

Before migrating, document:

• How many computers need migration
• Which software is currently installed (cracked Office version, Windows activation status)
• Where important files are stored (local drive, network share, external drive)
• Email setup (is Outlook connected to an Exchange server, personal email, or POP3?)

This inventory determines the scope and order of migration.

Step 2: Purchase the Correct Licenses

For Microsoft 365:

Choose the right plan:

• Microsoft 365 Business Basic (~150,000 VND/user/month): Email, Teams, OneDrive, web Office apps. No desktop Office installation.
• Microsoft 365 Business Standard (~300,000 VND/user/month): Adds full desktop Office (Word, Excel, PowerPoint, Outlook) installed on up to 5 devices.
• Microsoft 365 Business Premium: Adds advanced security features.

For most small businesses in Vietnam replacing cracked Office with desktop apps, Business Standard is the appropriate choice.

For Windows:

• Check if computers already have a legitimate Windows OEM license (newer computers often do — check Settings → System → Activation)
• If not licensed, purchase genuine Windows retail or OEM licenses for each computer

Step 3: Back Up Important Data First

Even though migration shouldn't affect files, always back up before making significant software changes:

1. Identify where data is stored:

   • Desktop, Documents, Downloads folders on each computer
   • Outlook .pst or .ost files (find via Outlook → File → Account Settings → Data Files)
   • Any local database files (accounting software, local databases)

2. Back up to:

   • External hard drive
   • Network share that won't be affected
   • OneDrive (if already set up, or set it up first on a working internet connection)

Step 4: Migrate Microsoft 365

For each computer:

1. Set up the Microsoft 365 account first:

   • Go to admin.microsoft.com and create user accounts
   • Assign Microsoft 365 licenses to each user

2. Install Microsoft 365 on the computer:

   • Log in to office.microsoft.com with the new Microsoft 365 account
   • Click Install apps → Microsoft 365 Apps
   • Run the installer

3. Uninstall the cracked Office:

   • Settings → Apps → Find Microsoft Office → Uninstall
   • Alternatively, the Microsoft 365 installer may handle this automatically

4. Configure Outlook (if used for email):

   • Open Outlook → Add Account → Enter the new Microsoft 365 email address
   • If migrating from an existing email account, set up email migration or simply configure new account alongside existing

5. Verify everything works:

   • Open a Word document — confirm it opens normally
   • Open Excel, PowerPoint — test basic functions
   • Send a test email from Outlook

Step 5: Migrate Windows (If Needed)

If computers are running unactivated Windows or cracked Windows:

Option 1: Purchase and enter a genuine product key

• Purchase a genuine Windows retail license
• Settings → System → Activation → Change product key
• Enter the new key — Windows activates without reinstallation
• This is the simplest path if Windows is otherwise working correctly

Option 2: Clean installation (recommended if the PC has significant malware issues)

• Back up all data thoroughly
• Create a bootable Windows USB from Microsoft's Media Creation Tool
• Clean install Windows
• Restore data and reinstall applications

Clean installation is more disruptive but recommended if the computer may have malware from previous cracked software tools.

Step 6: Migrate One Computer at a Time

For offices with multiple computers, don't try to migrate everything at once:

1. Start with one non-critical computer as a test
2. Confirm the process works and files are intact
3. Migrate remaining computers in batches of 2-3
4. Save critical servers and the most-used computers for last

This approach limits risk and allows you to adjust the process based on what you learn.

Handling Accounting Software

If you use MISA, Fast Accounting, or similar Vietnamese accounting software alongside Office:

• These are entirely separate from Microsoft Office and unaffected by the Office migration
• Check that the accounting software is also properly licensed (separate from Office)
• Verify the accounting software is compatible with the new Windows version if doing a Windows migration

"Will my Outlook emails be lost?" No — if using Microsoft 365 Exchange Online, emails are in the cloud and accessible from any device. If using local email storage (.pst files), back those up and import them into the new Outlook installation.

"Will our network printers still work?" Yes — printer drivers are at the Windows level, not Office level. An Office migration doesn't affect printers.

"What about our MISA/accounting data?" Unaffected. MISA data is stored in its own database separate from Microsoft Office.
