OneDrive Not Syncing: 8 Common Errors and How to Fix Them Without Losing Files
OneDrive sync errors are stressful — especially when you're not sure if your files are safe. Here's how to fix them without risking your data.
The OneDrive icon in your taskbar shows a red X or a warning triangle. Files you edited this morning haven't synced to the cloud. Your colleague can't see the changes you made. OneDrive has stopped working — and you're not sure why, or whether your data is at risk.
Before doing anything else: Your local files are still safe. OneDrive sync errors mean files aren't uploading or downloading — not that they've been deleted. Take a breath and work through this systematically.
Understanding OneDrive Sync Status Icons

| Blue cloud (hollow) | File is in the cloud only, not downloaded locally |
| White cloud with check | File is available and synced |
| Green circle with check | File is synced and "always available offline" |
| Red X | Sync error — file not synced |

Click the OneDrive icon in the taskbar for a summary of any active errors.
Before You Start: Safety First
Make a copy of your OneDrive folder to an external drive or a separate location before troubleshooting. This ensures you have a backup if anything goes wrong during the fix process. The OneDrive folder is usually at C:\Users\[YourName]\OneDrive.
Error 1: Sign-In Issues (Error 0x8004de40)
This error means OneDrive can't connect to Microsoft 365 because it isn't authenticated.
Fixes:
- Click the OneDrive taskbar icon
- Select Sign in if prompted
- Enter your work Microsoft 365 account credentials
- If already signed in, try signing out: taskbar icon → Settings → Account → Unlink this PC → Sign back in
Error 2: Storage Quota Exceeded
OneDrive stops syncing new files when your storage quota is full.
How to check:
- Click the OneDrive icon → Settings → Account
- Check the storage bar — if it's at 100%, this is your issue
Fixes:
- Delete files you no longer need from OneDrive (use onedrive.live.com to see what's taking space)
- Empty the OneDrive Recycle Bin
- Purchase more storage or ask your Microsoft 365 admin to increase your quota
- Administrators can increase user quotas in the Microsoft 365 Admin Center
Error 3: File Name or Path Too Long
OneDrive has limits on file name length and total path length (folder names + file name must be under 400 characters total). Files exceeding this won't sync.
Signs: Specific files fail to sync while others work fine.
Fixes:
- Shorten file names
- Move files to folders closer to the root of your OneDrive
- Rename parent folders with shorter names
Also check for illegal characters in file names. OneDrive doesn't support: \ * : < > ? / " | — even if they work on a local Windows drive.
Error 4: Network or Proxy Issues
If OneDrive can connect but sync is very slow or intermittently failing:
Fixes:
- Pause and resume sync: taskbar icon → Pause syncing → Resume syncing
- Check if your office firewall or proxy is filtering OneDrive traffic
- Test by connecting to a different network (mobile hotspot) to isolate whether this is an office network issue
If the issue only occurs on the office network, your IT team needs to whitelist OneDrive endpoints in the firewall.
Error 5: Conflicted Files
OneDrive creates "conflict copies" when the same file is edited on two devices simultaneously.
Signs: Files with names like filename-PC_name (John's conflicted copy 2026-08-05).docx appearing alongside the original.
Fixes:
- Open both versions and compare the content
- Decide which version to keep, or manually merge changes
- Delete the duplicate conflict copy
- Save the correct version with the original filename
Error 6: Antivirus or Security Software Blocking Sync
Some antivirus programs can interfere with OneDrive's ability to read or write files.
Signs: Sync worked before installing new security software, now it stops or pauses frequently.
Fixes:
- Temporarily disable real-time protection and test whether sync resumes
- Add the OneDrive folder and
OneDrive.exeexecutable to your antivirus whitelist/exclusions - This is particularly common with strict corporate security products (Sophos, Trend Micro, etc.)
Error 7: OneDrive App Needs Reset
Sometimes the OneDrive application itself gets into a corrupted state. Resetting it clears local configuration without affecting your cloud files or local files.
How to reset OneDrive (Windows):
- Press Win+R
- Type:
%localappdata%\Microsoft\OneDrive\onedrive.exe /reset - Press Enter — OneDrive will close and restart
- If it doesn't restart after 2 minutes, manually run OneDrive from the Start menu
After resetting, OneDrive will re-sync all files. This process may take time depending on data volume. Your files are not deleted by this process.
Error 8: Office Files Locked by Another Application
Word, Excel, and PowerPoint files that are currently open are held by the Office application and cannot be synced until closed.
If a file stays unsyncable even when closed:
- Open Task Manager and check for lingering Office processes (
WINWORD.EXE,EXCEL.EXE,POWERPNT.EXE) - End those processes if the file is actually closed
- Restart the computer and allow OneDrive to complete its initial sync before opening files
The Safe Order for Troubleshooting
Always work in this order to avoid accidental data loss:
- Identify the exact error — click the OneDrive icon for details and error codes
- Verify your files exist locally — look in the OneDrive folder on your C: drive
- Pause sync before making changes — prevents incomplete uploads
- Fix the root cause (storage quota, authentication, file name, network)
- Resume sync and monitor for 5-10 minutes
- Verify online — check onedrive.live.com to confirm files appear
When Your Files May Actually Be At Risk
OneDrive sync errors by themselves don't delete files. However, be cautious about:
- Deleting local files while sync is broken — if sync was failing, the cloud copy may not be current
- Removing OneDrive from your PC without checking what's local-only vs. synced
- Resetting sync without understanding the current state of your cloud storage
