Printer Not Printing Over WiFi: 8 Quick Fixes That Actually Work

Printer on the network but not printing? It's one of 8 common causes. Here's the fastest way to find which one.

The printer shows as connected. The WiFi light is solid. You send the print job. Nothing happens. Or Windows says it printed successfully, and the document simply never arrives.

WiFi printer problems are one of the most frustrating recurring IT issues in offices, largely because they seem random but usually have a specific, fixable cause.

Fix 1: Verify Printer and Computer Are on the Same Network

This is the most common cause people overlook. Many offices have both a staff network and a guest network. If your computer is on the staff VLAN and the printer is on the guest network (or vice versa), they cannot communicate.

Check:

  1. On your computer, see what WiFi network you're connected to
  2. On the printer's control panel (or print a test page with network info), see what SSID it's connected to

Both must be on the same network. If not, reconnect the printer to the correct network.

Fix 2: Assign a Static IP Address to the Printer

By default, printers receive a dynamic IP address from the router (DHCP). This address can change when the printer reboots or after a power outage. When the IP changes, Windows can no longer find the printer at its old address.

Solution: Set a static IP in the printer settings

  1. Access the printer's control panel or web interface
  2. Find Network or TCP/IP settings
  3. Change IP assignment from DHCP/Automatic to Manual/Static
  4. Set an IP outside your router's DHCP range (e.g., if DHCP assigns 192.168.1.100-200, use 192.168.1.50)

Then update the Windows printer port:

  1. Control Panel → Devices and Printers → Right-click printer → Printer properties → Ports tab
  2. Edit the TCP/IP port and enter the new static IP

Fix 3: Restart the Windows Print Spooler Service

The Print Spooler manages the print queue. If it crashes, nothing prints even when everything looks connected.

  1. Press Win+R, type services.msc, press Enter
  2. Scroll to Print Spooler
  3. Right-click → Restart

If jobs are stuck in the queue:

  1. Stop the Print Spooler service
  2. Navigate to C:\Windows\System32\spool\PRINTERS
  3. Delete all files there (leave the folder itself)
  4. Start the Print Spooler service again
  5. Try printing

Fix 4: Clear the Print Queue

A document stuck in the queue blocks everything that follows.

  1. Control Panel → Devices and Printers
  2. Double-click your printer to open the queue
  3. Right-click each stuck job → Cancel
  4. If jobs won't cancel through the UI, use the Print Spooler restart method above

Fix 5: Update or Reinstall the Printer Driver

Outdated or corrupted drivers cause printing failures, especially after Windows updates.

Update the driver:

  1. Go to the printer manufacturer's website (HP, Canon, Epson, Brother, Ricoh)
  2. Search for your printer model and download the latest driver for your Windows version
  3. Run the installer

If reinstalling from scratch: first uninstall the printer completely (Settings → Devices → Printers & Scanners → Select printer → Remove), then install fresh.

Fix 6: Remove and Re-Add the Printer Over the Network

Sometimes the cleanest fix is starting fresh:

  1. Settings → Devices → Printers & Scanners
  2. Click your printer → Remove device
  3. Click Add a printer or scanner
  4. If Windows doesn't find it automatically, click "The printer that I want isn't listed"
  5. Choose "Add a printer using TCP/IP address" and enter the printer's IP

Fix 7: Check Windows Firewall Settings

The Windows Firewall can block printer communication, particularly after security software changes or Windows updates.

Check firewall settings:

  1. Windows Defender Firewall → Allow an app through Windows Defender Firewall
  2. Scroll to File and Printer Sharing — ensure it's checked for both Private and Public networks

For third-party security software, check whether it has a rule blocking printer network traffic.

Fix 8: Check That the Printer Isn't Set to Offline Mode

Windows sometimes sets a printer to "Offline" mode if it couldn't communicate, and it stays offline even after the printer becomes available again.

  1. Control Panel → Devices and Printers
  2. Right-click your printer
  3. If you see "Use Printer Online", click it — this takes it out of offline mode

Quick Diagnostic Process

Narrow down the issue before trying all 8 fixes:

  1. Can you ping the printer? Open Command Prompt → type ping [printer IP]. If no response, it's a network connectivity issue (Fix 1 or 2).
  2. Does the job appear in the queue? If yes but doesn't print, it's likely the spooler or driver (Fix 3, 4, 5).
  3. Did it stop working after a Windows update? Start with Fix 5 (driver reinstall).
  4. Works fine via USB but not WiFi? Network configuration issue (Fix 1, 2, 6, 7).
  5. Shows "Offline" status? Fix 8 first.

Preventing the Problem Long-Term

  • Assign static IPs to all shared printers — this is the single most effective prevention
  • Label the printer with its IP address for quick troubleshooting reference
  • Keep printer firmware updated — manufacturers fix network bugs in firmware updates
  • Add the printer to your device inventory so you know its MAC address and IP
