How to Set Up Secure Guest WiFi Without Exposing Company Data
Guest WiFi using your main office password isn't a guest network — it's just the same network with an extra person on it.
When a visitor to your office asks for the WiFi password, what do you give them? If the answer is "the same password everyone else uses," you don't have a guest network — you just have a network with an extra person on it.
That visitor's laptop can now see every other device on your network. If their device has malware, it's on your network. If they're curious or malicious, they can probe your network-attached storage, printers, IP cameras, and workstations. Most businesses accept this risk without realising it exists.
Here's how to set up a proper guest WiFi — and why it's easier than you might think.
The Problem with Sharing Your Main WiFi Password
When you share your main office WiFi password with a visitor, you give them:
- Network visibility — they can see all devices on the same subnet
- Potential data exposure — if any shared folders or printers are misconfigured, they're accessible
- A persistence risk — if they saved your password, they can reconnect any time they're in range
- A liability — if they do something illegal from your connection, that activity traces back to you
A proper guest network eliminates all of these by creating complete isolation between guest traffic and your business network.
What Proper Guest Network Isolation Looks Like
A correctly configured guest network has:
- A separate SSID — different WiFi name and password
- VLAN isolation — guest devices are on a completely different network segment from staff
- Client isolation — guest devices cannot communicate with each other or with your devices
- Internet-only access — guests can browse the web but cannot reach your file servers, NAS, printers, or staff computers
- Optional bandwidth limits — prevents a guest from consuming your business bandwidth
What Is a VLAN and Why Does It Matter?
A VLAN (Virtual Local Area Network) creates a logical separation within a single physical network. Think of it as two completely separate networks sharing the same cables and hardware, but fully isolated from each other at the network level.
When your guest WiFi uses a different VLAN from your staff WiFi, a guest device literally cannot communicate with a staff device — even when they're on the same physical access point. The network enforces this separation in hardware.
Without VLAN isolation: Guest device → same network → can probe staff devices and your NAS.
With VLAN isolation: Guest device → isolated segment → internet only → cannot reach staff devices.
VLAN support is available on business-grade routers and access points. Most consumer ISP modems do not support it properly.
Setting Up Guest WiFi on TP-Link Omada (EAP Access Points)
TP-Link Omada is widely used in Vietnamese small offices. General setup:
- Open the Omada Controller
- Go to Wireless Networks → Add SSID
- Create a new SSID (e.g., "Office-Guest")
- Set a different password from your staff network
- Enable Guest Network — this automatically enables client isolation
- Assign to a different VLAN from your staff network (e.g., VLAN 20 for guests, VLAN 10 for staff)
- On your router, configure the guest VLAN to have internet access but no route to your main staff network
Setting Up Guest WiFi on ASUS Business Routers
ASUS ExpertWiFi and Pro series make this straightforward:
- Log in to the router admin interface
- Go to Wireless → Guest Network
- Enable a guest network
- Set a separate SSID name and password
- Set Access Intranet to OFF — this is the critical setting that prevents guest LAN access
- Optionally set a bandwidth limit
Bandwidth Throttling for Guests
Prevent guests from consuming all your business bandwidth:
- Set a maximum download rate for the guest network (e.g., 10 Mbps download, 5 Mbps upload)
- This reserves the bulk of bandwidth for staff work, particularly video calls
What About a Captive Portal?
A captive portal is the page that appears requiring users to agree to terms before getting internet access. For small offices:
- Not strictly necessary but adds accountability
- Guests must acknowledge acceptable use terms
- Can be implemented on TP-Link Omada, Ubiquiti UniFi, and other business platforms
- More relevant for waiting rooms, cafes, or hotels
Practical Tips for Office Guest WiFi
- Change the guest password monthly for high-traffic offices
- Set session time limits if your router supports it (guest access expires after 8-24 hours)
- Monitor connected devices in your router admin panel
- Use a clearly different SSID name (e.g., "CompanyName-Guest" vs. "CompanyName-Staff") — staff know which to use
